Meeting Planning

A Fortune 500 telecommunications company chose Event Logistics, Inc. to coordinate their International Technical Symposium at Walt Disney World in Orlando. The program would include the participation of the company's top executives from all over the world, and culminate in a gala event.

Event Logistics managed all aspects of the program including:

  • Site research and selection
  • Developed online registration process
  • Managed worldwide registration data
  • Hotel negotiations
  • Arranged hotel accommodations for all participants
  • Managed all onsite logistical and AV needs associated with the corporate meetings

Special Events

Event Logistics, Inc. was selected to create the 100th anniversary celebration for a Fortune 500, international retail and manufacturing corporation. The history-making event was to be held on one day, and encompass four-different activities and venues -- a press conference, employee business meeting, cocktail dinner and celebration show.

Hundreds of details needed to be coordinated, including:

  • Invitations
  • Database management for the 2,000 guests invited to the celebration
  • A staffed, dedicated #800 "event line" to coordinate responses
  • The design and production of museum-quality graphics displays
  • Arrangements for the use of more than a dozen collector vehicles and tires
  • Catering and decorations
  • Talent procurement of varying music genres
  • Coordination of hotel and travel arrangements for guests from all across the U.S. including ten foreign countries.
  • Ground transportation to and from all four events
  • Production of all program collateral pieces and specialty signage

Destination Management

Event Logistics, Inc. was asked to create and execute a corporate incentive for the top sales producers of a national Fortune 50 retail and manufacturing corporation.

Event management duties included:

  • Site research and selection
  • Hotel negotiations
  • Invitations
  • Staffing an 800 "event line" to coordinate responses
  • Coordination of all travel arrangements
  • Hotel accommodations and airport meet and greet services
  • Transportation (air and ground)
  • Onsite meeting management
  • Creation of special award dinner and various evening events
  • Schedule day tours ­ everything from luau's to submarine rides
  • Arranged for celebrity race car drivers to make guest appearances at events
  • Incorporate company mascot into each of the week-long events

Corporate Sponsorship

A publicly traded financial services company commissioned Event Logistics, Inc. to develop and implement a national charity event sponsored by the company. Known as 18 Wheels of Hope, the year-long program was designed to recruit members of the trucking industry to donate truckloads of food to a nationally known, benefiting charity, and then join together in Dallas for a campaign celebration and truck parade.

Serving as "program headquarters," Event Logistics coordinated all aspects of the event including:
  • Staffing an #800 "event line" to coordinate national participant registration, media inquiries and food donation efforts
  • Liaison between corporate sponsor, benefiting charity and trucking industry members
  • Comprehensive public relations involving national news and trucking industry media
  • Production of all program press and collateral materials
  • Development of incentive programs throughout the year to encourage trucking industry involvement
  • Coordinated a parade through downtown Dallas, for a convoy of 100-trucks
  • Arranged nationwide drop-points for food donations
  • Production and placement of select advertisements in trade publications
  • Creation of a special "awards" event at Texas Stadium to honor those involved in the charity effort
